Help needed to shape out an office computer network

Hi guys.. well .. this is the task at hand

Equipments available:

Sys1:

-Pentium 4 2ghz
-845gvsr chipset Board
-256+128mb RAM
-FDD,keyboard,mouse,speaker,table etc
-40GB Samsung hdd
-4 usb ports
-LG DVD RW Drive
-Motorola SM56 PCI speakerphone modem
-NIC card
-HP psc 2410 photosmart all in one

-1 bluetooth usb plugin( works well in xp but no driver available)


Primary Use:

-Average use of 15-20hrs a day
-Office use (CAD,Documents,checkin mail,faxing, printing etc)
The present config is suited well for the past 1 yr or so

Sys2(Laptop)

Compaq Presario 2500
-Pentium 4 2.6 ghz moblie processer
-256+128mb ram
-fdd,keyboard,mouse,speaker etc
-30gbHdd
-CD DVD combo writer
-Modem,nic,4 usb ports,~15inch monitor,

Primary use:

-Average use of 5-10hrs a day(MAX)
-Checking mail during roming,receiving faxes, documents etc


Sys3 AND/ OR Sys4(Expected soon)

Simlar to the Sys1 config but win 915chipsets and all present stuffs under 20k or so for each
All are mostly for office use and Sys2 is to help during travel.

Presently the Sys2 is connected to the net by simply plugging the phoneline here and there and a

dial up account

Modifications Expected:

-Since all the 3 Systems will be connected by lan, the documents in all the systems should be syncronized. Is there any software to do so?

-Moreover only one system (SAY SYS1> would be given a broadband from which others share through LAN

-What should be done So that "The laptop and SYS1 syncronises all the files.Lets say both should recognize wirelessly and syncronize files within a range.Bluetooth might be the solution( radius of 10m)But how to set the systems to auto syncronize?

-E-Mail used by the Office is in Yahoo(Mostly). But when SYS1 downloads the e-mails to a client using YahooPops/others , the mails in the yahoo account will be changed to read.So, how is it possible to get e-mails both in the laptop's e-mail client and the sys1's e-mail client?.Suppose the mail is left as unread,it is possible to get the e-mail in Laptop and sys1 but each time,all the e-mails will be downloaded and thus a great loss in bandwidh.Moreover, it is not possible to change the unread settings to read manually after downloading in a system/after 2 days or so as we dont know wheather the other system(laptop) received the new mails or not.got it?

-How to share the e-mails within the there systems sys1 sys3 sys4 using the lan? It is meaningless to download the same mails there times ..right?. Moreover these e-mails should be available in the e-mail client in each of the sytems so that it looks neat. Any ideas to make this happen?


-Since there is a modem availabe,(Hopefully with a separate phone line),Installing an answering machine would look good for an office. This ensures that no calls are left unanswered.Since the modem will be mainly used to receive faxes,the default setup should be to search for fax tones for a period of time and if unsucessful,switch to autoanswer mode with a greeting. Presently Bitware fax is used for the purpose but,Since proper dirver isnt available for sm56 pci speakerphone modem to work well in hand with bitware fax, win98 is currently used. sm56+biware works well in 98,not so in XP.The same sm56+bitware combination is successfull in win2000. Since most of the staffs in office are comfortalbe with bitware fax to send faxes, win2000 is the limit of the operating system to be upgraded. Is there any good answering machine software SIMPLE to operate and easier to control?. If so please help out.

-In the case of the laptop, a 6600 moblie is available. So with a bluetooth usb plug, it is possible to connect the laptop to the mobile. Since phoneline has to be searched everywhere to connect the laptop to the net, it is bit uncomfortable. Instead, a net connection through the cell is prefered. So, how to access the net through the cell? A GPRS connection in the cell allows us to browse WAP sites in the cell, but how to get the mails through GPRS to the LAPTOP through the bluetooth link within the mobile and the laptop?If there are any other options,please help out. Moreover which companies to prefer in a good net connection(Probably) through the mobile. CURRENTLY CELLONE,BPL,AIRTEL,RELIANCE are covering the required areas. Since the requirement is to download the mails(PROBABLY), a stable connection with a montly rent upto 200rs is preferred. More than that is also applicable under circumstances.

SOFTWARE IS NO LIMIT.ONLY THE HARDWARE IS.

All the systems can be upgraded to hold a usb bluetooth device if necessory/This might give a wireless feeling to operate the laptop and the sys1. Thus the laptop would appear to hold connected to the net wirelessly and with sys1 too. This would be a good look to have an office computer network

To solve the problems in the above steps,ur help is needed. Please help me out!...

P.S.When this is done, the next step is to secure the office remotly using DEXTER's idea.Instead of using faxes from the laptop, a sms message or sort of that might be used from the moblile to initiate a required fax messege or e-mail with the particular messege within an official background to make it appear OFFICIAL.

Use this guide and ignore the part where it says to connect two computers using crossover cable. Get a switch from the computer market in your area and connect all your computers using straight through cables.

Get a BSNL broadband connection (Rs. 250 for 256kbps) and all your problem related to bandwidth would be solved (yes, that includes your problem of downloading the mails again on different computer.) Connect the cable coming out of the bsnl modem to the switch and the internet sharing is done.

In case you don't wanna follow the guide and use the network setup wizard, you can also manually asssign the private (192.168.0.x) ip addresses, keping the computers in the same workgroup and then put the bsnl modem's ip address in the gateway tab. PM me if this sounds like some you've never done before.

Let me know if you encounter any problems.

The systems ARE connected in LAN and the net is shared already. Thx anyway. But how to do the other things like syncronizinig, sharing e-mail etc

The office receives mails with an average total attachment size of 15-20mbs+ . So each day 20*3=60mb *30days =1800mb in needed for a month. instead, how to share the e-mail WHICH IS ALREADY DOWNLOADINED IN SYS1 THROUG LAN? So that only 20*30=600mb will be taken for bandwidth.Hope u got it :)

Thx but this is alreding done (probably). All the systems are assigned a comman gateway through through the modem's ip. Similarly all the systems are assigned a private ip (without which a lan connected predominantly is not possible)

I thought you needed help in setting up the LAN and sharing the internet that's why i posted all that information. You have too many *probably* and *hopefully* thrown in that makes things confusing.

As for the the email downloading, i have one word for you - Google!

Do some research online and then post back if you don't find anything. I and other forum members would be glad to help you out.
